• Permit Processing – Prepare, submit, and track residential HVAC permit applications with local municipalities and building departments
• Project Coordination – Collaborate with service managers, installers, and customers to ensure all necessary documentation is submitted for each job
• Inspection Scheduling – Schedule and confirm inspections with local authorities, ensuring jobs are ready for final approval
• Communication Liaison – Act as the primary point of contact with building departments, ensuring timely responses and clear documentation
• Record Keeping – Maintain organized and accurate records of permit statuses, inspection results, and compliance documentation
• Compliance Assurance – Ensure that all required permits are obtained prior to job start and that projects meet state and local code requirements
• Support Team Operations – Provide administrative support to service and installation departments as needed to help drive efficiency
• System Updates – Utilize Service Titan or similar software to update job statuses, inspection outcomes, and permitting notes
• Experience – 1–3 years in permitting, administrative support, or construction coordination preferred
• Organizational Skills – Excellent attention to detail with the ability to manage multiple deadlines across various municipalities
• Communication Skills – Professional and clear written and verbal communication with both internal teams and external agencies
• Tech Savvy – Proficient with Microsoft Office Suite and experience using CRM or job tracking software (Service Titan experience a plus)
• Problem Solving – Ability to anticipate issues, find solutions, and follow through to resolution
• Team Player – Works well in a fast-paced, collaborative environment and supports coworkers with a positive attitude
• Valid Driver’s License – Occasional local travel to town offices may be required
